Cancellation / No-show Policy

Please notify us by 4pm on the day before your scheduled appointment of any changes or cancellations.
To cancel a Monday appointment, let us know by 4pm on Friday.
A late cancellation/ no show will incur a charge of 50% of appointment fee.

You don’t like paying a cancellation fee; honestly, we don’t like charging it. We do our best to help you keep track of your appointments in emails and courtesy SMS reminders and give you plenty of time before your appointment (up to 4pm the day before) to cancel if something comes up.

Nonetheless, we understand that sometimes cancellations are inevitable. If you need to cancel, we would appreciate it if you let us know as soon as possible so we can offer the appointment to someone else in need. Last-minute cancellations are difficult to fill. However, we will not charge you if we do fill your appointment.

If you can’t attend your appointment in-person, other options are available. Instead of cancelling and incurring a fee, please consider changing your appointment to an online or phone consultation.

Late-notice cancellations are defined as occurring after 4pm the day before your scheduled appointment (or after 4pm Friday for Monday appts).
– The fee is 50% of the appointment fee (see Schedule of Fees here)
– This fee is not claimable through Medicare, Workcover, Third Party Funders or private health funds.
– The invoice for late cancellation/no-show fees is sent via email.
– In the event that this cancellation fee is not paid before your next appointment, we reserve the right to cancel this appointment.

Cancellation example:
Your appointment is at 5.10pm on Monday; you will need to cancel by 4:00 pm the Friday before. Remember, we will only charge the cancellation fee if we can’t fill the appointment.

Late–notice cancellations for NDIS clients are defined as less than 2 business days’ notice from the time of your scheduled appointment
– The fee is 100% of the consult fee.
– The fee is 100% charged against the NDIS Plan.
– The most current NDIA Price Guides determine our cancellation amount and period.
– The NDIA Price Guides change from time to time, and as a user of our service, you agree to such changes (e.g., if the NDIA puts up/down the cancellation fee or time period for cancellation, you agree to those changes).

Cancellation example:
You are an NDIS participant, and your appointment is at 5.10pm on Monday; you will need to cancel by 5:10 pm the Thursday before. Remember, we will only charge the cancellation fee if we can’t fill the appointment.

Business days are classed as Monday to Friday.

How to Cancel:
– You can call 03 6224 8448.
Our receptionists operate from Monday to Thursday 8:30am to 5.15pm and Friday 8.30am to 4pm. Sometimes, our phone lines may be busy. If this happens, please leave us a voice message.
– You can cancel your appointment online through our booking system.
– You can reply ‘No’ to your SMS reminder.

Reminder: treat our team with courtesy, politeness and kindness. We will not tolerate verbal abuse over our cancellation policy.
